Ask about substitutions before approving them

A replacement deserves a review of the requirements it affects.

Make the proposed change explicit

Ask the supplier to identify the original specification, proposed alternative and reason for the change. Consider function, manufacture, finish, documentation and inspection through the appropriate specialists. Similar naming or appearance is not enough to establish equivalence. Record the decision and the evidence used rather than accepting a verbal assurance that two options are close.

Keep the revision coherent

If a substitution is approved, update the relevant controlled documents and communicate the scope. Explain whether the change applies to one prototype, one batch or future production. Preserve the original decision history. A bounded approval should not silently become an unrestricted permission to replace material again. Clear records protect the meaning of both the specification and the exception.

  • Identify the exact alternative.
  • Review affected requirements.
  • Record the approval’s scope.
