Turn supplier feedback into a design decision

Comments are useful when the team knows what to do with them.

Capture the full question

Ask the supplier to connect feedback to a feature, requirement or document revision. Include the proposed alternative and the reason it is suggested. Keep a record that the design team can review without reconstructing a phone conversation. Different comments may concern appearance, manufacturability or delivery; clarify which decision each one affects.

Close the loop

Assign an owner to assess the comment, record the decision and communicate the outcome. If a change is approved, update the controlled package rather than relying on a note outside the drawing set. If it is declined, explain the relevant requirement. A feedback loop is complete when both sides understand the current instruction and know which previous assumption has changed.

A practical review checklist

  • Link comments to a revision.
  • Assign a review owner.
  • Communicate the controlled outcome.
